As project, program, and portfolio managers, our primary objective is to complete tasks within specified timelines while collaborating effectively with team members, stakeholders, and customers. However, in our quest to meet deadlines, we often face the challenge of over-communication, which can lead to what I term “project manager fatigue.”

Understanding Project Manager Fatigue

Project manager fatigue occurs when our constant follow-ups and communication become overwhelming for our stakeholders and teams. This situation arises when we, driven by the desire to ensure progress and obtain updates, start contacting them daily or excessively. Such behavior can be counterproductive, leading to stakeholders avoiding our calls, messages, and emails, ultimately losing their buy-in.

The Fine Line: Collaboration vs. Annoyance

There is a delicate balance between necessary follow-ups to achieve our goals and becoming a source of annoyance. If we cross this line, stakeholders might comply with our requests just to get us off their backs, but they will perceive us negatively. This negative perception can harm long-term relationships and reduce the effectiveness of our collaboration.

Strategies for Positive Engagement

  1. Understand Your Audience: Recognize that each stakeholder, customer, and team member has unique preferences and working styles. Tailoring your communication approach to each individual’s needs can prevent fatigue.
  2. Monitor Nonverbal Cues: Pay attention to body language and other nonverbal communication to gauge if you are pushing too hard or too little.
  3. Establish Clear Communication Cadences: At the beginning of a project, have a transparent dialogue with your stakeholders. Discuss how they prefer to receive updates and establish a mutually agreeable communication schedule.
  4. Adapt to Organizational Culture: Assess the culture and dynamics of new teams or organizations. What works for one group may not work for another, so flexibility is key.
  5. Position Yourself as a Helper: Aim to make the lives of your stakeholders and team members easier. When you are seen as someone who facilitates smooth processes and eases workloads, you gain higher buy-in.
  6. Simplify Interactions and Execution: Make interactions and execution as easy as possible. If tasks are falling behind, investigate the reasons and identify ways to streamline processes to achieve desired outcomes.

By focusing on these strategies, we can ensure that our engagement with teams, stakeholders, and customers remains positive and productive, avoiding the pitfalls of project manager fatigue. The goal is to foster a collaborative environment where everyone feels supported and valued, ultimately leading to successful project completion.
